This Privacy Policy explains how Jempitona Pty Ltd (ABN 16 142 831 187) trading as Educational Engine (“we“, “us“, “our“) collects, uses, stores and discloses personal information when you use EducationalEngine.com and its AI-powered tools (the “Service“).

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy should be read alongside our Terms and Conditions.

1. Information we collect

Information you give us

  • Account details: your email address, username and password (stored in encrypted, hashed form), and any name or profile details you choose to add.
  • Purchase details: your name, email address, billing details and order history when you buy credits. Payments are processed by PayPal — we do not receive or store your full card or bank account details.
  • Inputs: the information you enter into our tools, such as unit titles, topics, learning outcomes, cohort details and other course context.
  • Communications: anything you send us, such as support requests or feedback.

Information created when you use the Service

  • Generated items: the lesson plans, assessments, case studies, rubrics and other content generated for you, stored in your account.
  • Credit and usage records: your credit balance, purchases, credits spent and expired, and a record of which tools you have used and when.
  • Technical information: your IP address, browser and device type, pages visited and dates and times of access, collected through server logs and security tools.

2. Please do not enter sensitive information

Our tools do not need personal information about anyone else to work. Please do not enter names, health information or other personal or sensitive information about students, patients or other people into our tools. If you do, it will be processed in the same way as your other inputs, including being sent to our AI providers (see section 4).

3. How we use your information

We use personal information to:

  • create and manage your account and let you sign in;
  • generate content with our AI tools and store it so you can access it later;
  • process purchases, add credits to your account and keep transaction records;
  • send you essential service messages, such as purchase receipts, account notices and changes to our Terms or this policy;
  • provide support and respond to your enquiries;
  • keep the Service secure, prevent fraud and misuse (for example, multiple accounts created to obtain free credits), and fix problems;
  • understand how the Service is used and improve it, including monitoring the cost and performance of our AI tools; and
  • comply with our legal obligations, including tax and record-keeping requirements.

We will only send you marketing emails if you have agreed to receive them, and you can unsubscribe at any time using the link in any marketing email.

We do not sell your personal information.

4. Who we share information with

We share personal information only as needed to run the Service, with:

  • AI providers (such as OpenAI and Anthropic), which receive your inputs in order to generate content for you. Their handling of that data is governed by their own business API terms and privacy policies.
  • Payment processors (currently PayPal), to process your purchases.
  • Hosting, security and infrastructure providers (including our web host, content delivery network and security services), which store and protect the Service and its data.
  • Professional advisers such as accountants and lawyers, where needed.
  • Authorities, where we are required or authorised by law to do so.

These providers may only use your information to provide their services to us or as their own terms and applicable law allow.

5. Overseas disclosure

Some of our service providers, including our AI providers and PayPal, store or process information outside Australia — mainly in the United States, and possibly in other countries where they or their subcontractors operate. We take reasonable steps to use providers with appropriate privacy and security practices, but by using the Service you acknowledge that your information may be handled overseas.

6. Cookies and similar technologies

We use cookies and similar technologies to:

  • keep you signed in and secure your session;
  • remember items in your cart during checkout;
  • remember preferences, such as having dismissed our sign-up prompt; and
  • protect the Service against attacks and abuse.

You can control cookies through your browser settings, but blocking essential cookies may stop parts of the Service, such as signing in and checkout, from working.

7. How we store and protect your information

We store your information on secure servers operated by our hosting provider and take reasonable steps to protect it from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include encrypted connections (HTTPS), hashed passwords, access controls and security monitoring. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.

If a data breach is likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.

8. How long we keep your information

  • Account information and generated items are kept while your account is active. We may introduce a retention period for stored generated items in future, as described in our Terms.
  • Purchase and transaction records are kept for at least five years to meet Australian tax record-keeping requirements.
  • Technical and security logs are kept for a limited period, then deleted or anonymised.

When we no longer need personal information, we take reasonable steps to delete or de-identify it.

9. Accessing, correcting and deleting your information

You can view and update much of your information through your account. You can also ask us to:

  • give you access to the personal information we hold about you;
  • correct information that is inaccurate, out of date or incomplete; or
  • close your account and delete your personal information, except where we need to keep it for legal, tax or security reasons.

Contact us using the details below. We will respond within a reasonable time, usually 30 days. We may need to verify your identity first.

10. Children

The Service is intended for educators and is not directed at children. You must be at least 18 years old to create an account.

11. Complaints

If you have a concern about how we have handled your personal information, please contact us first so we can try to resolve it. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page with a new “last updated” date and, for significant changes, take reasonable steps to let you know.
